Project manager Jon Eriksen is collaborating with Even Sand, who leads the AI initiative at Kunnskapsbyen, on providing effective work instructions to the digital assistant.

‍

Kunnskapsbyen has become more productive without using more resources. With the help of artificial intelligence, we are able to do more with the exact same people.

‍

A conservative estimate suggests that Kunnskapsbyen has saved a quarter of a man-year with the help of AI in 2026. In addition, the need for purchasing services has been reduced by 75,000 kroner so far this year.

‍

The AI adaptation began on a small scale, with simple measures to make the workday a little easier. Smarter handling of repetitive tasks has yielded results by freeing up resources from office work for outward-facing activities.

‍

Goodbye to duplicate work

– We have achieved better structure and a more systematic workflow in our tasks. Automating routine tasks and registrations has also given us a better basis for decision-making, says CEO Inger-Lise M. Nøstvik.

‍

With the help of AI, Kunnskapsbyen has eliminated unnecessary duplicate work while gaining a better and more up-to-date overview of activities. Deliverables are increasing without an increase in consumption.

‍

– We started small, with simple measures to make our workday a little easier. Now the figures show that we can handle the same tasks as before with fewer hours spent, says CFO Kari Kapstad.

‍

Little by little, step by step

Kunnskapsbyen is still in an early phase of adopting artificial intelligence as a work tool. The implementation is being handled carefully and cautiously, step by step, to ensure the process is completely secure. The work focuses on user behavior and security, the proper use of AI services, and what they are granted access to.

‍

– We have looked at various processes where AI can solve a specific task faster and better than we can do ourselves, says Even Sand, project manager for the AI initiative at Kunnskapsbyen.

‍

It can be small tasks, such as summarizing a long document into a short text, or more extensive systematization of larger work processes, he explains.

‍

– When the world around us is constantly improving, it is not enough to just get a little faster. If we are to maintain our professional standing, we must also improve – at least as quickly as our surroundings, he says.

‍

Quality development with AI

Kunnskapsbyen has a conscious approach to using AI as a tool to develop human capabilities and performance – not to replace people. It is all about how the tool is used.

‍

AI can be compared to a knife. It can be used to slice bread – or to cause harm. It is human judgment that must guide AI processes.

‍

The AI tool is only as good as you make it. It works best when given a clear role, clear input, and clear requirements for the output.
